Rehearsing the Handoffs

Most rehearsals spend their time on notes, tempos, and transitions between songs. Fewer spend any time on the transitions between people — who cues the next moment, who’s watching whom, what happens if the person who was supposed to speak isn’t actually ready. Those handoffs are where Sunday mornings quietly go sideways.

Why this matters

A congregation rarely notices a slightly late chord. They do notice ten seconds of dead air while two people on stage both wait for the other to start talking. The gap isn’t a skill problem — everyone involved can play their part — it’s a clarity problem. Nobody rehearsed the handoff itself.

A 15-minute rehearsal add-on

Before you run the set top to bottom, walk the room through every handoff on the order of service. For each one, name out loud:

1. Who is finishing, and what is the last thing they’ll say or play.
2. Who is starting next, and what their first cue is — a word, a chord, a nod.
3. What happens if that cue doesn’t come — who holds, and for how long, before someone moves anyway.

You’re not rehearsing the content of the handoff, just the shape of it. It takes less time than most teams expect, and it removes the single most common cause of an awkward Sunday: two competent people, both waiting.

For the team lead

Say this part out loud, not just in a planning doc: “If you’re not sure whether it’s your turn, move. A slightly early cue is recoverable. A silence that everyone is waiting out is not.” Giving your team permission to guess wrong is often more useful than giving them a more detailed cue sheet.

Try it this week

• Pick one Sunday and write down every handoff on the order of service before rehearsal.
• Spend the first fifteen minutes of rehearsal walking through them, out loud, with the people actually involved.
• Afterward, ask one person on the team which handoff still felt unclear — there’s usually one.
